JOB SUMMARY

Supports Judicial Officers and prepares the official record of court proceedings within a courtroom setting and processes after court paperwork. Performs specialized administrative work attending court sessions, takes minutes in handwritten form  and electronically, and prepares a wide variety of court related documents; performs advanced, independent administrative duties in three (3) or more of the following court areas: Traffic, Juvenile, Civil/Small Claims, County Criminal, Circuit Criminal; ensures the care, custody, and control of all tangible evidence submitted in court; maintains heavy professional contact with judges, attorneys, defendants, and the general public.

ESSENTIAL JOB FUNCTIONS (examples, not all inclusive)

  • Prepares and checks court calendars prior to court hearings;
  • Prepares and publishes verdict forms;
  • Serves the public by furnishing information as requested;
  • Trains other court clerks as assigned;
  • Attends court proceedings such as, but not limited to, advisories, arraignments, pre-trials, motions, jury and non-jury trials, and sentencings in order to provide an accurate record of disposition by taking and entering minutes of court proceedings/ case activity into the  in-court docketing program and uploading the session results and information to the case management system;
  • Writes and submits accurate and concise minutes of proceedings by analyzing and summarizing complex discussions and presentations;
  • Ensures that pertinent data is included in minutes and that information is accurately reflected;
  • Accurately enters, updates, and researches court records and case information including dispositions and financials during court proceedings;
  • Handles the logistical functioning and flow of courtroom activities, answers procedural questions, notifies bailiff of any actions that may adversely affect courtroom security, and maintains orderly appearance of courtroom and assigned areas;
  • Administers oaths to jurors, witnesses, and defendants;
  • Receives and examines legal documents, researches and reviews legal correspondence, and determines appropriate processing of legal documents;
  • Receives, identifies, marks, maintains, and stores all evidence, including obtaining a signed receipt for exhibits not admitted into evidence;
  • Attends and takes the court record for weekend and holiday advisories;
  • Generates and distributes after-court minutes to appropriate personnel and agencies;
  • Issues and recalls warrants;
  • Completes paperwork required for disposition of case and obtains signatures from the judge for required paperwork;
  • Performs other related job duties as assigned.

QUALIFICATIONS

Education and Experience:

Training and proficiency, as a Court Clerk, in three (3) or more of the following court areas: Traffic, Juvenile, Civil/Small Claims, County Criminal, Circuit Criminal.

Special Qualifications (May be required depending on area of assignment):

  • Florida Driver’s License or Florida Commercial Driver’s License and endorsement, if any.
  • Assignment to work a variety of work schedules including compulsory work periods in special, emergency, and/or disaster situations.
  • Other knowledge, skills, abilities, and credentials required for a specific position.

Knowledge, Skills and Abilities:

  • Knowledge of standard office practices, procedures, policies, computers, operating systems, and related software applications;
  • Knowledge of relevant terminology, grammar, and ability to follow verbal and written instructions;
  • Knowledge of laws, rules and regulations as they relate to area of assigned responsibility;
  • Knowledge of judicial processes, terms, and practices;
  • Knowledge of legal terminology and procedures for preparing, examining and maintaining legal documents;
  • Skill in the operation of computers and keyboard data entry;
  • Ability to work independently under pressure with specific timelines;
  • Ability to tolerate exposure to evidence and testimony, such as photographs of crime scenes and victims;
  • Ability to sit for extended periods of time, while concentrating on repetitious or complex tasks;
  • Ability to work in a fast-paced environment with frequent interruptions while maintaining speed and accuracy using a computer;
  • Ability to respond to requests on short notice and the ability to manage multiple tasks and stringent deadlines are essential;
  • Ability to reason analytically and organize facts and remember and apply complex rules, procedures and other detailed information.

PHYSICAL/MENTAL DEMANDS

The work is sedentary work which requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body.  Additionally, the following physical abilities are required:

  • Reaching: Extending hand(s) and arm(s) in any direction.
  • Visual ability: Sufficient to effectively operate office equipment including copier, computer, etc.; and to read and write reports, correspondence, instructions, etc.
  • Hearing ability: Sufficient to hold a conversation with other individuals both in person and over a telephone; and to hear recordings on transcription device.
  • Speaking ability: Sufficient to communicate effectively with other individuals in person and over a telephone.
  • Mental acuity: Ability to make rational decisions through sound logic and deductive processes.
  • Talking: Expressing or exchanging ideas by means of the spoken word including those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly, or quickly.
  • Repetitive motion: Substantial movements (motions) of the wrist, hands, and/or fingers.
  • Walking: Moving about on foot to accomplish tasks, particularly for long distances or moving from one work site to another.

WORKING CONDITIONS

Work is performed in a dynamic environment that requires sensitivity to change and responsiveness to changing goals, priorities, and needs. Exposure to evidence and testimony that may be graphic, disturbing, and unpleasant. Work is sometimes performed in an environment in which personal errors may lead to significant physical or mental consequences for the customer and co-workers including, but not limited to; warrants being issued or recalled, defendants being released from jail or incarceration, driving privileges being revoked, and other financial implications.
