Tax form W-2 Wage and Tax Statement

Pinellas County offers employees the option to opt in to an electronic version instead of a mailed copy of the Form W-2 Wage and Tax Statement (W-2). This option is approved by the Internal Revenue Service (IRS).

How do I opt in to an electronic W-2?

Your consent to receive an electronic W-2 will be valid for all subsequent tax years unless you decide to change it in OPUS.

  • Log into OPUS.
  • From the menu at top left (3 lines), select PIN Employee Self Service and Electronic W-2 Consent.
  • Read the Electronic Delivery Consent.
  • Click Update.
  • Select the Online check box for the Delivery Method.
  • Read the confirmation statement and check the box.
  • Click Apply.

Can I still opt in to receive my 2023 W-2 electronically?

Yes. You can opt in at any time and immediately access an electronic version of your 2023 W-2 and any previous W-2’s. If you did not opt in prior to December 31, you received a paper copy in the mail of your 2023 W-2. However, if you opt in now, you will also receive an electronic version.

If you opted in, view your W-2s by logging into OPUS, selecting Employee Self-Service, selecting Employee W-2, scrolling down to View or Download W2, and clicking the red icon to view your statement. You may print the form or download and save it.

What are the advantages of an electronic W-2?

This format offers convenient 24-hour availability, early access (no need to wait for mail delivery), security (no chance of your W-2 being lost or stolen), and environmental savings by eliminating the need to print and mail a paper form. You can print the electronic W-2 if needed for your tax return.

What happens after I opt in to an electronic W-2?

  • You will no longer receive a copy of your W-2 in the mail.
  • Each January, you will be notified by email that your W-2 is available for viewing in OPUS.

You only need to complete the opt in steps listed above once to give consent to receiving your W-2 electronically from now on.

What if I do not opt in (i.e. I prefer a mailed W-2)?

  • If you prefer receiving your W-2 by mail, no action is needed.
  • You will receive a mailed copy of your W-2 each year at the address listed in OPUS by the IRS deadline which is usually January 31.
  • If you have an address change in the future, update OPUS promptly with your new address to ensure that you receive your W-2 in the mail.
  • NOTE: If you do not opt in to electronic W-2s, you will not be able to view them in OPUS.

What if I opt in and then change my mind?

You can change your election at any time. If you decide you would like a mailed W-2 instead of an electronic copy, follow these steps:

  • Log into OPUS.
  • From the menu at top left (3 lines), select PIN Employee Self Service and Electronic W-2 Consent.
  • Read the Electronic Delivery Consent information.
  • Click Update.
  • Uncheck the Online check box for the Delivery Method.
  • Read the confirmation statement and check the box.
  • Click Apply.

If you change your election, it will be effective the day you make the change in OPUS and will apply to future W-2 statements only.

Do I have to opt in every year?

No. You only need to opt in once and then all future W-2s will be available for electronic viewing in OPUS.

What if I leave Pinellas County employment?

No action is needed on your part. When you leave Pinellas County employment, you will not have access to OPUS so you will automatically be mailed a paper copy of your last W-2.

How do I view W-2s in OPUS?

If you opt in to electronic W-2s, you may view, download or print your electronic W-2s in OPUS from 2011 to the present:

  • Log into OPUS.
  • From the menu at top left (3 lines), select PIN Employee Self Service and Employee W-2.
  • Click the PDF icon for the W-2 desired.

Will I be able to view my W-2s online if I don't opt in?

No. The IRS requires that we get your permission before we are able to post W-2 forms online.
